About workflows and their stages

Workflows help your organize and automate some of your hiring processes. A workflow consists of several stages through which applicants will pass. See Advance an applicant through the hiring process.

There are two kinds of workflows:

  • SimplyHired Standard workflow (default) – Due to its simplicity, this built-in workflow can handle the hiring needs of most companies. You can use it as-is, or you can duplicate it as a starting point for a custom workflow. You can also add automated stage items (e.g., emails and assessments), but you can’t otherwise edit or delete this workflow.
  • Custom workflows – If your role permits, you can add and edit custom workflows.

A typical workflow has the following stages. Please note that you don't have to move your candidates through the hiring stages in this order. You can set up the workflow stages to move your candidates in any order that best fits your hiring needs. You can also create your own stages in your custom workflows.

By default, stages do not contain any stage items (such as automatic emails). If your role permits, you can add stage items to workflows as needed. See Manage stage items in a workflow.

  • All Applicants – This selection shows you all applicants in all stages, including those with the status "Not Hired."

    If Auto Reject was enabled in the Auto Qualify section of the Post a job process when you created the job post, applicants who did not pass the screening questions are automatically set to “Not Hired,” and each applicant is sent a automated rejection email.

  • Awaiting Review – This is the default initial status when an applicant applies to your job. Stage items added to this stage event are only triggered for applicants who have been revealed. If an email has been added as a stage event to this stage, when an applicant is revealed, the applicant is sent an automated email confirming that their application has been received.
  • Revealed – Applicants who have been revealed, along with their revealed resume information.
  • Screen – Applicants who are being screened. If an assessment, also called screener questions, has been added as a stage event to this stage, each applicant is sent an invitation to take an assessment test which they must pass to move forward.
  • Interview – Applicants who have been selected for interviews. If an email has been added as a stage event to this stage, each applicant is emailed an automated interview invitation.
  • Consider – Applicants who are being considered for the job. If an email has been added as a stage event to this stage, each applicant is sent an automated email. A second round of interviews can be automatically requested for the applicants.
  • Offer – The applicant who has been or will be extended an offer. If an email has been added as a stage event to this stage, the applicant is sent an automated email.
  • Hired – The applicant who has accepted the offer, including the start date and other work details. If an email has been added as a stage event to this stage, the new team member will be sent an automated email.
